Users and sign-up

Admins see three extra sections in Settings: Sign-up, Users and Invitations.

Closed (default) Nobody; an admin creates each account
Invite only People with an invitation link
Open Anyone who can reach your Day Planner URL

The policy also applies to external login: with anything but Open, a provider login for an unknown email is refused.

  1. Under Invitations, enter their email and select Create invite.
  2. If email is set up, they’re sent the link. Either way, the link is shown to you to copy.
  3. They open the link, choose a name and password, and are signed in.

Invitation links work once and expire after 7 days. Revoke a pending invitation from the list. Invitations work under every policy, even Closed.

Open Create a user under Users, fill in their details and a password, and choose User or Admin. Give them the password yourself; they can’t change it without email set up or your help.

For each user:

  • Make admin / Make user changes their role. Admins can manage users and instance settings.
  • Reset password sets a new password, typed or generated. Saving signs them out everywhere; give them the new password yourself. This is the path the sign-in page points at when the instance can’t send email — no email needed. It works on your own account too.
  • Ban signs them out everywhere and stops their API keys. Unban restores access.

You can’t change your own role or ban yourself, so an instance can’t be left without an admin by accident. (Everyone else’s passwords, including your own, can be reset — that’s the point.)

If a user signs in with external login instead of a password, there is no password to reset; the action says so rather than silently adding one.
